“I'd like a free trial” is an enquiry, not a confirmed booking. A prospective member still needs to know which branch to visit, whether the class suits their schedule, and how to reserve a place. Sending a welcome message without answering those questions leaves the front desk with more work later.
A gym CRM with WhatsApp can connect those steps. ADFLIKER captures Facebook and Instagram Lead Ads enquiries, supports WhatsApp follow-ups and chatbot questions, and lets your team track progress in a visual pipeline. Here is a suggested setup for a gym or fitness studio.
Make the first reply useful at a glance
Keep the opening message focused on the offer in the ad. If the campaign advertises an evening trial, don't lead with a brochure containing every annual membership option.
“Hi [Name], thanks for asking about a trial at [Studio]. Which branch works for you: [A] or [B]? We'll share the booking link and available sessions. Reply STAFF if you'd like help.”
Set up that staff handover in your workflow before using the example. Ask about location and preferred time first. You do not need weight, medical conditions or body photos to organise an introductory visit.
Separate interest, booking and attendance
Use clear stages so the front desk knows which message to send next:
- Trial enquiry: the person has requested information but has no reserved slot.
- Booking link sent: they have received a way to choose a time.
- Trial booked: the appointment is confirmed in the booking record.
- Trial attended or missed: a staff member has checked attendance.
- Membership discussion: someone has asked about joining or agreed to a follow-up.
- Joined or closed: record the outcome without leaving inactive leads in the active queue.
ADFLIKER's appointment flow can share a booking page from WhatsApp and send a confirmation after a booking. Configure the correct branch, session length and availability first. Do not confirm a trial merely because a lead form was submitted.
Give missed trials a different next step
A person who missed a class needs a chance to reschedule. Someone who attended needs a short conversation about the membership options they asked about. Putting both into the same “join today” sequence ignores what happened.
For example, after a staff member marks a trial missed, offer a new booking link once. After attendance, ask whether the visitor wants a call about membership. If they decline or stop responding, close the enquiry or pause contact according to the agreed follow-up plan.
Test appointment reminders and stage-triggered messages with your team before launch; the exact timing and automation depend on configuration. Keep replies visible to the person responsible for that branch.
Use broadcasts for a relevant offer
A new morning class may interest people who asked about morning availability. It is less useful to someone already attending an evening programme. Build a small, relevant audience instead of sending every promotion to every number. Follow WhatsApp's messaging policy, respect opt-outs and use approved templates where required.
Our bulk WhatsApp broadcasting guide covers audience selection and campaign planning. For the enquiry flow, start with the WhatsApp chatbot guide.
Measure visits before adding more messages
Review enquiry-to-booking, booking-to-attendance and attendance-to-membership rates separately. Follow the same group of unique enquirers through those steps and allow time for their visits and decisions. If bookings are healthy but attendance is low, check directions, class times and rescheduling instructions before increasing ad spend.
